The Gate Keeper

Artifact’s key-based Discord entry bot for structured onboarding and private staff review.

The Gate Keeper helps new members begin their journey into Artifact. It manages limited entry access, sends a short questionnaire, and gives staff a private review workflow before full community access is granted.

Holding the key to Artifact.

The Gate Keeper does not replace human judgment. It helps unlock the first step into Artifact by organizing new-member entry so staff can review applications consistently, privately, and carefully.

What it does.

The Gate Keeper supports Artifact’s onboarding process by helping new members enter with structure instead of dropping directly into the full community.

Starts the entry process

When a new non-bot member joins Artifact, the bot begins the entry flow and places them into limited access while they complete the questionnaire.

Sends a DM questionnaire

New members answer a short set of questions in direct messages so staff can understand why they are joining and whether they have read the entry expectations.

Posts for staff review

Once the questionnaire is complete, the bot posts the application into Artifact’s private review channel for staff to evaluate.

Applies staff decisions

Staff can approve, decline, request assistance, or ban from the review message, keeping decisions clear and tied to a private staff workflow.

How the entry flow works.

The Gate Keeper creates a simple path from “new member” to “staff-reviewed member.”

1

A new member joins Artifact.

The bot checks that the person joined the Artifact Discord server and is not already a fully approved member. It then assigns the entry role used for limited access.

2

The bot sends a private questionnaire.

The member receives a welcome message in direct messages and answers a short set of entry questions. If DMs are disabled, staff may be alerted that the applicant needs help receiving the questionnaire.

3

Staff review the completed application.

The completed questionnaire is posted to Artifact’s private review area with applicant details and submitted answers so authorized staff can review the request.

4

A staff decision is applied.

The review message gives staff reaction-based controls for approval, rejection, assistance, or banning. Approved members receive full access, while declined or banned applicants are handled according to staff action.

What staff can review.

The Gate Keeper gives reviewers the context they need without making the process public to the whole server.

Application context

Staff review may include Discord account references, account identifiers, timing information, avatar information, submitted questionnaire answers, and staff decision status.

  • Applicant Discord account reference
  • Discord user ID
  • Account creation date
  • Questionnaire answers
  • Private staff decision status

Workflow logging

The bot may support staff-facing logs for entry requests, approvals, declined applications, bans, DM issues, and unverified-member cleanup actions.

  • New entry requests
  • Approval decisions
  • Declined applications
  • Ban decisions
  • DM access problems
  • Unverified-member cleanup actions

What it does not do.

The Gate Keeper is a structured entry tool, not a replacement for moderation judgment or community policy.

No automatic approval

The bot does not decide who belongs in Artifact by itself. Final entry decisions are handled by authorized Artifact staff.

No risk scoring

The Gate Keeper organizes information for review. It is not presented as an automated background check, threat score, or identity-verification system.

No public application display

Entry review information is intended for private staff review workflows, not public posting across the community.

Not a public bot service

The Gate Keeper is built for Artifact’s own Discord server and entry workflow. It is not advertised here as a general-purpose bot for outside communities.

Privacy and safety note.

The Gate Keeper is part of Artifact’s community safety process.

Application information is reviewed by authorized staff in private Artifact staff areas. Members should answer honestly, avoid submitting sensitive personal information that is not requested, and contact Artifact staff if they have trouble receiving the questionnaire.
