Payment Safety

Clear terms. Good records. Better protection.

Payment is often the point where a creative agreement becomes a real commitment. Artifact encourages artists and commissioners to use clear agreements, documented payment methods, and good judgment before money changes hands.

Protect the agreement before the payment.

A safer transaction starts with clarity. Before payment is sent, both people should understand the scope of the work, the price, deadlines, revisions, payment schedule, refund expectations, and any usage rights involved.

Artifact does not process payments, hold funds, act as escrow, or represent either party in a private agreement. The best protection comes from using reliable payment tools, preserving written records, and making informed decisions.

Before money changes hands.

Make sure the important details are settled before anyone sends payment or begins work.

📄

Confirm Scope

Agree on what is being created, what is included, and what changes may cost extra.

💵

Confirm Price

Make sure both people understand the total, deposits, milestones, taxes, and additional fees.

⏱️

Confirm Timing

Discuss expected turnaround, queue position, deadlines, and how delays will be communicated.

🧾

Keep Records

Save payment confirmations, invoices, messages, references, approvals, and final delivery details.

Clear records protect both the artist and the commissioner.

Safer payment habits.

Good payment practices help prevent misunderstandings and make it easier to document an agreement if an issue arises.

For commissioners

  • Review the artist’s terms before sending payment
  • Use payment methods that provide a clear transaction record
  • Request an invoice, receipt, or written payment confirmation
  • Keep messages that define the project and expected deliverables
  • Do not rush because someone creates false urgency
  • Ask questions before sending money if anything feels unclear

For artists and artisans

  • State prices, deposits, payment schedules, and refund expectations upfront
  • Use invoices or written confirmations whenever possible
  • Make the scope and usage rights clear before work begins
  • Keep records of references, approvals, and delivered files
  • Communicate before major delays become a surprise
  • Do not pressure a client to bypass reasonable payment safeguards

Choose payment methods thoughtfully.

Different payment tools offer different features, records, fees, and dispute processes. Take time to understand the method you are using before committing.

🧾

Invoices

Invoices can clearly document the buyer, seller, amount, service, and agreed payment purpose.

🔒

Transaction Records

Use methods that make it easier to preserve proof of payment and the purpose of the transaction.

📆

Payment Plans

For larger work, deposits or milestones can help both sides manage expectations more clearly.

⚠️

Know the Limits

Some payment options may offer fewer records or fewer dispute options than others. Understand that before using them.

Payment red flags.

Pause and look more closely when a transaction feels rushed, unclear, or intentionally difficult to document.

Be cautious when someone

  • Pressures you to pay immediately without clear terms
  • Refuses to explain pricing, scope, or delivery expectations
  • Asks you to move communication away from all written records
  • Claims a payment method is “required” without a clear reason
  • Promises unrealistic turnaround times or unusually cheap work
  • Changes the payment destination at the last minute

Pause before proceeding if

  • The portfolio, identity, or past work appears inconsistent
  • You are asked to send sensitive personal or financial information
  • The person becomes hostile when you ask normal questions
  • The agreement changes after you have already discussed a price
  • You are being pushed to ignore your own comfort level
  • The situation resembles a known scam or impersonation attempt

When a payment dispute happens.

Start by preserving records and communicating clearly when it is safe and reasonable to do so.

Keep copies of the original agreement, payment confirmation, messages, references, updates, and delivery information. Depending on the situation, you may need to use the support or dispute process offered by your payment provider.

Artifact can review serious policy concerns involving members, including scams, impersonation, stolen work, or community-rule violations. Artifact cannot reverse private payments or enforce every private agreement.
